Planned Maintenance Programmes

Helping property owners, managing agents and resident-led organisations plan ahead for the repair and renewal of their buildings. Earl Kendrick prepares clear, evidence-based Planned Maintenance Programmes that support proactive maintenance, dependable budgeting and realistic service charges.

Work with us

Proactive building management:

A Planned Maintenance Programme identifies future work before deterioration turns a manageable item into an urgent and costly repair.

Realistic financial planning:

Forecast costs and timings give clients a sound basis for annual budgets, reserve fund contributions and service charges that reflect the building’s likely needs.

Clear priorities:

We distinguish immediate requirements from work that can be planned over the medium and longer term, helping clients direct available funds where they will have the greatest effect.

Building-wide technical insight:

Our programmes consider the fabric, communal areas and building services together, incorporating relevant fire, façade, lift, asbestos and M&E information.

A programme that stays current:

A PMP is a practical management tool. Regular reviews allow the forecast to respond to completed work, changing condition, new information and updated costs.

FAQs

A Planned Maintenance Programme is a long-term schedule of anticipated repair, maintenance and replacement work. It records the condition of the building’s principal elements, recommends when work should take place and provides indicative costs. The programme helps clients move from short-term reactions to an organised plan for the building.

By showing when significant expenditure is likely to arise, a PMP helps clients prepare annual budgets and plan reserve fund contributions over time. This provides an evidence-based foundation for service charges, reduces the risk of sudden demands and makes future costs easier to explain to leaseholders and other stakeholders.

We inspect the building and review the available maintenance history and technical information. The programme can cover structure, roofs, elevations, internal communal areas, external works and communal services. Where relevant, we incorporate findings from fire risk, façade, lift, asbestos and M&E reports so that the forecast reflects the wider technical picture.

Maintenance needs are easier to manage when they are identified early. Planned work can be scoped, prioritised and procured with more control, while timely intervention can limit deterioration and reduce dependence on emergency repairs. Our portfolio analysis found that 58% of forecast PMP expenditure fell within the first five years, reflecting how often planning begins only after substantial work has accumulated.

The programme should be reviewed regularly and after any material change to the building. Completed projects, new surveys, changes in condition, updated statutory requirements and movements in construction costs can all affect the forecast. Keeping the PMP current allows it to remain useful for day-to-day decisions and long-term financial planning.
